WorkDrive In Zoho CRM release notes
Every version, newest first. Currently on 11.0, released 3 October 2026. Updates arrive through Zoho Marketplace - your settings and folders are kept.
Version 11.0
WorkDrive In Zoho CRM 11.0 adds folder support for six more modules - Sales Orders, Invoices, Quotes, Purchase Orders, Campaigns and Tasks - and replaces the extension icon with a simpler mark that stays legible at small sizes. It also fixes large uploads that were cut off by a fixed time limit whatever their size, fixes a theme control that could look unresponsive, and stops actions being started again while they are still running. The new modules come with the package upgrade rather than with the widget, because each one needs a folder-reference field, a files panel and a folder-creating automation installed in your org. They start switched off: after upgrading, open Settings and enable the ones you want, then run the back-fill for any records created before you enabled them.

Support for six additional modules
Sales Orders, Invoices, Quotes, Purchase Orders, Campaigns and Tasks are now supported alongside Leads, Contacts, Accounts and Deals. Each record in these modules receives its own WorkDrive folder, accessible from a files panel on the record page. Every new module has its own step in Settings, with the same folder-naming controls as the existing four: field selection, smart tags and a live preview. The defaults follow the field Zoho CRM uses to identify a record in list views - Subject for Sales Orders, Invoices, Quotes, Purchase Orders and Tasks, and Campaign Name for Campaigns. These can be changed before a module is enabled.

New extension icon
The previous icon was a detailed illustration that lost definition at the sizes Zoho CRM displays it. It has been replaced with a simpler mark that remains legible down to 16 pixels.

The theme control sometimes appeared not to respond
It cycled through Light, Dark and System on each press, and one step of that cycle produced no visible change: "System" resolves to whichever theme the operating system is already set to, so leaving Dark on a dark system looked identical. The control is now a menu listing all three, with the current one marked, so every choice takes effect on the press that makes it. This affected both Settings and the files panel on a record.

Large files would not upload
Every upload was given a flat 45 seconds, whatever its size, and was reported as failed the moment that ran out - so small files went through and anything bigger, such as a video or a scan, did not, however good the connection was. An upload is now given time in proportion to the size of the file. A cut-off upload could also leave a second copy of the file in the folder; that no longer happens. The progress bar moves while an upload is in flight, rather than sitting still until it finishes.

Controls remained active while their request was still running
The module on/off switch, the files panel's Refresh, and the two sync actions could each be started again before the first had finished. Each is now unavailable until its request completes. A folder listing can also no longer be overtaken by an earlier one, which previously could display one folder's contents under another folder's name.
Version 10.0
WorkDrive In Zoho CRM 10.0 adds a back-fill step to Settings, so records that already existed when you set the extension up can be given their WorkDrive folders, and it lets you create a missing folder straight from a record's files panel. It also fixes a toolbar menu that would not stay open and a duplicate-folder bug in busy modules. The back-fill spends API credits, roughly in proportion to how many records need folders.

Back-fill older records
Settings now has a fifth step. A record's folder is created at the moment the record is, so records that already existed when you set the extension up never had that moment and have no folder - pick a module, press Start, and they get one. It shows how many are done and how many are left, what the run has cost so far, and a Stop button. Stopping is safe: nothing is left half-done, and starting again carries on from exactly where it stopped - so is closing the tab, losing your connection, or coming back to it tomorrow. No record is ever given two folders. Records that could not be done are listed at the end with the reason for each one, so you can fix the cause and run it again rather than guessing.

When you open the files panel on a record that has no folder, it now offers to make one there and then.

It writes the folder ids back in batches instead of one record at a time. The back-fill works on earlier versions too - upgrading only changes what it costs to run.

Clicking the gear in a record's files panel opened the menu and closed it again immediately.

Folders could be duplicated in a busy module
Past fifty record folders, the extension could stop recognising one it had already made and create a second beside it - the record pointed at the new one, and anything filed in the old one was no longer reachable from CRM.
Version 9.0
WorkDrive In Zoho CRM 9.0 introduces automatic interface updates, support for WorkDrive Files on standard and custom modules, module controls, and a rebuilt File Panel with Light/Dark mode. It also includes several bug fixes and removes the Check for Update option. Package upgrades are only needed for major integration changes.

The interface updates itself from now on
The extension's screens are no longer shipped inside the package. They're served from our own servers, which means a fix or an improvement to the file panel reaches your org within seconds of us releasing it - no Marketplace upgrade, nothing for you to install, nothing to ask your admin for. Package upgrades are still needed when the underlying integration changes (new permissions, new automations). Those are rarer, and we'll say so in the release note when one is required.

A file panel on any module, including your own
There's now a single WorkDrive Files related list that can be added to any module in your CRM - the standard ones, and the custom modules you built yourself. It's created in your org automatically the first time you open the extension's settings. To put it on a module, open any record of that module and use Related List → Add Related List → Widgets → WorkDrive Files → Install. Once per module, and it stays.

Turn modules on and off
Each module now has a switch in Settings → Modules. Only the modules you switch on get a file panel and folder settings, so the settings page stops showing you forms for modules you don't use. Upgrading from an earlier version: nothing you already use switches off. Any module that already had folders set up stays on, exactly as it was.

Rebuilt interface
The file panel and the settings page have both been rebuilt. They open faster, the file list handles large folders better, and the whole thing now follows a proper light and dark theme - light by default, with a toggle in the panel's toolbar.

The Check for update card has been removed from Settings. With the interface updating itself, there's nothing left for it to tell you - and your package version is already shown in Zoho Marketplace.

The file panel could appear completely blank inside a record. It now renders on every Zoho data centre.

Normal first-run messages ("this module isn't set up yet", "no folder linked yet") were shown in red, as though something had gone wrong. They now read as information.

Version 8.0
A maintenance release. The list of existing share links now shows the real date each link stops working.

The Links that already exist list showed every link as no expiry, even when you had set an expiry date. The list now shows the date each link expires. The links themselves always stopped working on the date you chose; only the label in the list was wrong.
Version 7.0
Share files and folders directly from the CRM record, either with anyone through a link or with specific people on your WorkDrive team. You can also see and withdraw every share from the same place.

Share any file, folder or subfolder with named people on your WorkDrive team. Pick them from a searchable list, choose their permission, decide whether they get an email, and optionally set a date when their access ends.

The sharing window lists everyone who already has access to a file or folder and the permission each person holds. You can remove any one of them without affecting the others.

Before you create a new link, the window shows the links that already exist, what each one allows and when it expires. Every link has Copy and Revoke buttons.

More control over public links.
Choose what visitors can do: view, view and comment, upload only (folders), or edit. You can also allow downloads, set an expiry date, require a password, or ask visitors for their name and email before the link opens.

Two clear ways to share.
The separate Download Only, Full Access, Collect Files and Get link entries are replaced by two entries on every file and folder: Anyone with the Link and Specific Team Members. The folder menu offers the same two for the folder you are in.

Both sharing windows state what you are about to give (the permission and, for links, what visitors can do), and update as you change the options.

A file's link offers the same access choices and options as a folder's, instead of a fixed view-and-download link.

Links no longer expire after a fixed seven days without telling you. Set an expiry when you want one; the list of existing links shows which links never expire.

Version 6.0
Fixes a warning that appeared on a correctly finished update, saying the extension and the file panel might be on different versions when they were not.

A warning that fired on a finished update
After updating both the extension and the Module Pack, Check for Update on a record could warn that the two might be on different versions - directly beneath a banner confirming the panel was on the latest one. The number it compared against was written only when Settings was opened, so straight after an upgrade it still held the previous version, and an upgrade is exactly when nobody opens Settings. The comparison has been removed. A Module Pack left behind is still reported, by comparing the panel's own version with the newest one published - which is what the rest of that dialog already showed.
Version 5.0
Both halves of the extension can now tell you when they are out of date - including the file panel on your own modules, which Zoho never updates and never mentions. Plus a fix for field lists that came back empty on those modules.

Settings now has a Version panel, and the file panel has a Check for Update entry in its menu. Both tell you the version you are on, the newest one published, and when it was released - and if there is a newer one, take you straight to the download page.

The Module Pack
The copy of the file panel you upload by hand for your own modules now has a name, and a version of its own shown beside the extension's. It is the one piece of this that Zoho never updates, and until now there was no way to find out which version an org was running.

A warning when the two drift apart
The extension updates itself; the Module Pack does not. Open Check for Update on one of your own modules and it will say so when the two are on different versions - even when neither is behind the latest release. Nothing else in Zoho reports this, and a mismatch is the most likely cause of behaviour that cannot be reproduced anywhere else.

Adding a module begins in Settings and finishes in two other consoles. The Add a module panel now links the full walkthrough, before the form rather than after it.

Rather than a panel that grows underneath the button on a page that is already long. The action that follows from it - Update now - sits on the dialog's footer where it stays put.

Every version says whose it is
Each row is labelled: installed, or latest published. Four version numbers can be on screen at once and two of them could reasonably be called "the latest", so each one now says which it is.

Field lists came back empty on modules you added yourself
On a module you added in Settings, the list of fields that names the folder - and Named from inside the folder-structure dialog - rendered empty when you returned to Settings, with no error of any kind. It looked as though the module had no fields that could be used. The lists worked while you were first adding the module and were gone the next time the page loaded. Leads, Contacts, Accounts and Deals were never affected.

WorkDrive works on any CRM module now - the standard ones and the custom ones you built - with a single workflow action covering all of them, and Settings creating the folder-id field for you.

Use WorkDrive on any CRM module
Until now this worked on Leads, Contacts, Accounts and Deals. It now works on any module in your CRM - standard ones like Products or Quotes, and custom modules you built yourself. In Settings, press Add a module, choose the module, choose the field that stores its WorkDrive folder id, and it provisions that module's folder. Folder naming, subfolder structure, smart tags and triggers all behave exactly as they do on the built-in four.

Settings can create the folder-id field for you
Every module needs one text field to remember its WorkDrive folder. Instead of sending you to CRM's field editor with instructions, Settings now creates it - one button, correct type, correct length. This matters more than it sounds: a field created too short stores a truncated folder id, and everything afterwards fails with a vague no-folder-yet message that gives you nothing to go on. Made here, it is always right. Because CRM fixes a field's type and length permanently at creation, this only ever runs when you press the button - never on its own.

The right field is picked for you when there is one
If the module already has a field clearly meant for this, Settings selects it and says so. Your own choice always overrides it, and there is now an Or create a new field link available at all times - not only when the list is empty.

One workflow action for every module
A new WDFolderCreate action, attached to a workflow rule on any module. No separate function per module any more. When you attach it to a rule, it shows you what that module is actually set to do - which WorkDrive folder its records go under, how the folder gets named, which subfolders get created, and what the rule fires on - all read live from your settings. And if you build a rule for a module that has not been added in Settings yet, it warns you right there. Previously such a rule saved cleanly, ran on every new record, and quietly created nothing - and nobody found out until someone opened a record and found an empty folder panel.

Renaming a record renames its folder on every module
On modules you added yourself, renaming a record was reading the folder id from the wrong field, finding nothing, and stopping - with no error anywhere. It now reads the field you named in Settings. Leads, Contacts, Accounts and Deals were never affected.

An error thrown during page load
The file panel could report a connection error while it was still handshaking with the record page, before it had anything to show. Harmless, but it appeared in the browser console on every load.
Version 3.0
Bulk delete, sharing from any subfolder, and folders that no longer vanish when the field they are named after is empty - plus a rebuilt Settings layout.

Bulk delete for files and folders
Tick several rows at once - in list or grid view - and delete them together. Every row has a tick box, the header has a select-all, and a bar shows how many are picked. It opens the same dialog a single delete does, so Delete permanently (skip the trash) is still there. The result is reported honestly: how many were deleted, how many are sitting in the trash, and how many failed.

Share any subfolder, not just the folder you are in
A subfolder's row menu now offers the same three modes the current folder already had: Full share, Download only and Collect only.

Folders named after a field the record has not filled in
A folder named from, say, Company used to be skipped entirely when the record had no Company - and filling the field in afterwards changed nothing, because there was no folder to rename. The folder is now created carrying the field's label instead. Fill the field in, press Sync Folder Structure in Settings, and the folder is renamed in place - subfolders and files inside it are untouched.

The tree now draws the parent folder that every subfolder is created inside, so the structure reads as a whole.

Folder name is now Dynamic Root Folder Name. The three pieces of a name - fields, separator, extra text - sit on one row, left to right in the order they appear in the name. Triggers moved to a full-width panel below. Example folder and the module's folder id sit side by side, at the same height.

Colour in the Folder structure tree
Folder icons, the named-from-a-record-field marker and the fold toggle are colour-coded, and the move arrows now say which of two jobs they do: up and down reorder, left and right move in or out, in different colours, with a legend that matches. Smart tags inside a folder name are highlighted the way they are everywhere else in the extension.

Share links failed on long file names
Sharing a file with a long name produced an error instead of a link. WorkDrive rejects a share-link label past a limit it does not publish, so the label is now shortened before the link is created - and if WorkDrive still refuses it, the link is created under a generic name rather than not created at all.
